How to use the Photographer Invoice Generator
- Add your business and customer details
- Add each item or service with a quantity and unit price, then add tax, a discount or shipping if needed
- Pick a template and check the live preview
- Use the Copy or Share buttons to save or send your result, or print / save it as a PDF.
Tip: Choose a profession preset first — it relabels the item fields and offers example line items so you're not starting from a blank table.
Common mistakes to avoid
- Leaving the tax rate blank when your jurisdiction requires one — the tool never guesses a rate for you.
- Setting a due date before the issue date, which makes the invoice confusing for the customer.
- Forgetting to mark items as non-taxable when only some of your line items should be taxed.
How invoice totals are calculated
subtotal → discount → tax → shipping → total → balance due
Each line item's total is quantity multiplied by unit price. Those line totals are added up into a subtotal. Your discount — either a percentage or a fixed amount — is subtracted from the subtotal next. Tax is then calculated only on the items you've marked as taxable, using the discounted amount, so a discount always reduces the tax you owe too, not just the pre-tax price. Shipping or any extra charge is added after tax, since it typically isn't part of the taxable goods or service. The result is your total. Subtracting anything the customer has already paid gives the balance due.
When to use this tool
Use it any time you need a one-off, itemized invoice — a single project, a service call, a freelance milestone, or a simple recurring bill — without opening spreadsheet or accounting software. It's built for speed: enter items, see the total and a print-ready preview instantly.
✓ Pros
- Works instantly, right in your browser
- Handles tax, discounts and shipping correctly, including edge cases like a 100% discount
- No sign-up, no ads blocking the result
✕ Limitations
- Does not convert between currencies — only formats the amount you enter
- Does not save invoice history or send emails on your behalf
- Does not know your local tax rate or legal requirements
How Photographers typically invoice
field-tested guidance, built into this preset
Photography invoices usually center on a session or package fee — a fixed amount for a defined shoot — with editing/retouching and travel added as optional extras rather than baked into the base price. That structure lets you offer a clear starting price while still capturing the real cost of add-on work like extensive retouching or a distant location shoot.
Tips for this preset
- Keep your base session/package fee as one clear line, then add extras (extra edited images, travel, prints) as separate lines so the client can see what drove the total above the base package.
- If you charge per edited image, use quantity for the number of images and unit price for your per-image rate.
- Note the shoot date in either the invoice notes or the item description, since "session fee" alone doesn't tell the client which shoot it refers to if they've booked more than one.
Common mistakes to avoid
- Quoting one flat number that includes everything, which makes it hard to explain the price if a client asks for fewer edited images next time.
- Leaving out the shoot date, which matters for clients who book recurring sessions (e.g. seasonal family photos).
- Not separating travel fees, which can look like an arbitrary price increase if it's buried in the session fee.
Tip: This preset pre-fills example photographer line items so you're not starting from a blank table — edit or delete them freely. Need a different trade? The general Invoice Generator has all 11 profession presets in one place.
Choosing an invoice template
All four templates share the exact same data and totals — switching between them is purely visual, so you can try each one against your brand without re-entering anything. Classic is a traditional, teal-accented layout. Modern uses a bold dark header band. Minimal strips styling back to clean typographic lines. Professional uses a double-rule header and a monospaced invoice number, closer to a formal accounting document.
Whichever template you pick, the exported version always renders on a plain white background with dark text — even if you're browsing TickmarkTools in dark mode — so the PDF or printout stays readable and professional.

Accuracy & limitations
This invoice generator is built for speed and correct math, but it's worth understanding what it does and doesn't do:
- Not legal or tax advice. It creates a professional invoice document, but invoicing, tax and record-keeping requirements vary by location and business circumstances. Verify applicable requirements with the relevant authority or a qualified professional.
- No currency conversion. Changing the currency only changes how amounts are formatted — it does not convert entered values between currencies.
- No saved history yet. Turning on "Remember my business info" saves your business details locally in this browser only; it does not save a history of past invoices or sync across devices.
Photographer Invoice Generator FAQ
Add a line item with the number of extra images as the quantity and your per-image editing rate as the unit price — it'll total automatically.
That depends on your local tax rules — some jurisdictions treat reimbursed travel differently from the service fee itself. You can mark the travel line as taxable or not independently.
Yes — enter it in "Amount already paid." The tool calculates the remaining balance due and updates the payment status automatically.
Yes, it is completely free with no sign-up required.
Yes. Use the Print / Save as PDF button, then choose "Save as PDF" as the destination in your browser's print dialog.
No. All calculations run entirely in your browser, and nothing you enter is ever sent to a server or stored, unless you turn on the optional "remember in this browser" setting, which only saves data locally on your own device.
