How to use the Consultant Invoice Generator

  1. Add your business and customer details
  2. Add each item or service with a quantity and unit price, then add tax, a discount or shipping if needed
  3. Pick a template and check the live preview
  4. Use the Copy or Share buttons to save or send your result, or print / save it as a PDF.

Tip: Choose a profession preset first — it relabels the item fields and offers example line items so you're not starting from a blank table.

Common mistakes to avoid

  • Leaving the tax rate blank when your jurisdiction requires one — the tool never guesses a rate for you.
  • Setting a due date before the issue date, which makes the invoice confusing for the customer.
  • Forgetting to mark items as non-taxable when only some of your line items should be taxed.

How invoice totals are calculated

subtotal → discount → tax → shipping → total → balance due

Each line item's total is quantity multiplied by unit price. Those line totals are added up into a subtotal. Your discount — either a percentage or a fixed amount — is subtracted from the subtotal next. Tax is then calculated only on the items you've marked as taxable, using the discounted amount, so a discount always reduces the tax you owe too, not just the pre-tax price. Shipping or any extra charge is added after tax, since it typically isn't part of the taxable goods or service. The result is your total. Subtracting anything the customer has already paid gives the balance due.

When to use this tool

Use it any time you need a one-off, itemized invoice — a single project, a service call, a freelance milestone, or a simple recurring bill — without opening spreadsheet or accounting software. It's built for speed: enter items, see the total and a print-ready preview instantly.

✓ Pros

  • Works instantly, right in your browser
  • Handles tax, discounts and shipping correctly, including edge cases like a 100% discount
  • No sign-up, no ads blocking the result

✕ Limitations

  • Does not convert between currencies — only formats the amount you enter
  • Does not save invoice history or send emails on your behalf
  • Does not know your local tax rate or legal requirements

How Consultants typically invoice

field-tested guidance, built into this preset

Consulting invoices are usually built around a time-based rate — hourly or daily — with any reimbursable expenses (travel, materials, third-party costs) itemized separately so the client's finance team can tell billable time apart from pass-through costs. Many consulting engagements are also cross-border or business-to-business, where tax treatment differs from typical retail sales, so every line item can be marked taxable or not independently.

Tips for this preset

  • Keep expenses as a distinct line (or several) from your time-based fee — most finance departments process them differently internally.
  • For day-rate engagements, use quantity for number of days and unit price for your day rate rather than converting everything to hours.
  • Reference the engagement letter, SOW or PO number in the dedicated field — larger organizations frequently reject invoices missing one.

Common mistakes to avoid

  • Blending reimbursable expenses into the hourly fee, which complicates the client's expense reporting and can raise tax questions.
  • Omitting the SOW/PO reference on invoices to larger companies, causing processing delays.
  • Not noting the specific engagement or project when billing multiple concurrent projects for the same client.

Tip: This preset pre-fills example consultant line items so you're not starting from a blank table — edit or delete them freely. Need a different trade? The general Invoice Generator has all 11 profession presets in one place.

Choosing an invoice template

All four templates share the exact same data and totals — switching between them is purely visual, so you can try each one against your brand without re-entering anything. Classic is a traditional, teal-accented layout. Modern uses a bold dark header band. Minimal strips styling back to clean typographic lines. Professional uses a double-rule header and a monospaced invoice number, closer to a formal accounting document.

Whichever template you pick, the exported version always renders on a plain white background with dark text — even if you're browsing TickmarkTools in dark mode — so the PDF or printout stays readable and professional.

Accuracy & limitations

This invoice generator is built for speed and correct math, but it's worth understanding what it does and doesn't do:

  • Not legal or tax advice. It creates a professional invoice document, but invoicing, tax and record-keeping requirements vary by location and business circumstances. Verify applicable requirements with the relevant authority or a qualified professional.
  • No currency conversion. Changing the currency only changes how amounts are formatted — it does not convert entered values between currencies.
  • No saved history yet. Turning on "Remember my business info" saves your business details locally in this browser only; it does not save a history of past invoices or sync across devices.

Consultant Invoice Generator FAQ

Add them as their own line items, separate from your hourly or day-rate fee, and consider marking them non-taxable if that matches your arrangement and local tax rules.

That's a business decision based on your agreement with the client — this tool supports either; just use quantity and unit price to represent whichever unit you're billing (hours or days).

Yes — use the PO / reference number field, or add more detail in the Notes section, which appears on the printed or PDF invoice.

Yes, it is completely free with no sign-up required.

Yes. Use the Print / Save as PDF button, then choose "Save as PDF" as the destination in your browser's print dialog.

No. All calculations run entirely in your browser, and nothing you enter is ever sent to a server or stored, unless you turn on the optional "remember in this browser" setting, which only saves data locally on your own device.

💡 Quick Help

Tap a common question below for an instant, pre-written answer. This is a deterministic help widget, not a live AI assistant.

How do I add a discount?
Scroll to "Discount, tax & shipping," choose Percentage or Fixed amount, then enter the value. It updates the total immediately, and is applied before tax is calculated.
Can some items be tax-free while others aren't?
Yes. Uncheck the "Taxed" box on any line item's row to exclude just that item from the tax calculation.
How do I switch templates without losing my data?
Use the template chips above the preview (Classic, Modern, Minimal, Professional). Switching only changes the visual style — your entered data stays exactly as it is.
Why does my exported PDF look different from dark mode?
The invoice preview always renders on a plain white background with dark text, even if TickmarkTools itself is in dark mode, so your printed or PDF invoice stays professional and readable.
Does this tool store or upload my data?
No. All calculations run entirely in your browser, and nothing you enter is ever sent to a server or stored, unless you turn on the optional "remember in this browser" setting.
